Food Export Association of the Midwest USA (Food Export-Midwest) and Food Export USA–Northeast (Food Export-Northeast) are nonprofit organizations that help U.S. companies start or expand their export sales. We support their success through programs and services focused on Export Education, Market Entry, and Market Promotion. Together, we are composed of agricultural promotion agencies from 13 Midwestern and 10 Northeastern states. Our programs and services are funded through the U.S. Department of Agriculture’s (USDA) Foreign Agricultural Service (FAS) under the Market Access Program (MAP).
Food Export would like to invite qualified individuals and firms to submit proposals to provide comprehensive meeting planning services for two annual Member State meetings during the 2027 Program Year (January 1, 2027 – December 31, 2027) and roughly 20 smaller events nationwide.
The selected contractor will provide meeting planning, project management, administrative, logistical, operational, and on-site support services necessary for the successful planning and execution of these meetings.
Experience working with nonprofit organizations or trade associations will be viewed favorably.
The attached Request for Proposal (RFP) outlines the scope of services, proposal requirements, submission instructions, evaluation criteria, and applicable deadlines.
Proposal Pricing Requirement
As part of the proposal submission, respondents shall provide an itemized pricing schedule for each functional area identified in the Scope of Work. Pricing shall reflect the total cost associated with each functional area rather than a single bundled project fee. If a service is included within another functional area, respondents should indicate “Included.” Respondents are encouraged to identify and provide pricing for any additional value-added services not specifically identified in this RFP.

Wednesday September 30, 2026 12:00 p.m. (Noon) Eastern Time Proposals must be submitted electronically to kmason@foodexport.org.
A decision will be made by October 31, 2026.
